Thank you very much for your interest in the services of our Company! We would like to describe the Convenience Package of our service, which we provide to our customers who are now contracting, and the general steps of the contract process in the case of an EXISTING Company.

Our CONVENIENCE PACKAGE has additional services to assist our clients, not all of which are found in other service providers. These are:

  • letters received are scanned and forwarded to our customers by e-mail immediately.
  • in case a priority letter is received (eg. tax authorities, courts), a notification via SMS could be sent.
  • certain letters (by prior arrangement) will be sent to our client’s accountant and / or lawyer, helping to streamline client’s administration.
  • upon agreed intervals (eg monthly, quarterly) we post all the letters to our client or they could be collected personally (in Csomád or in Budapest);
  • provide free usage of a conference room in Csomád in our office;
  • we undertake the submission of the postal authorization instead of our clients, thereby we can save time for them;
  • we also arrange the registration of our clients at the local government; therefore, it is not necessary for them to come to Csomád several times;……

Short description of the steps of the contract for an existing company:

    1. Submission of Personal Documents
      Once you decide to use our headquarters service, please provide scanned copies of the company representative’s personal documents (identity card, address card, and tax card). These are required for identification and to perform our services in full compliance with legal obligations.
    2. Provision of Company Documents
      We require the current articles of association of your company. Additionally, please provide the zero certificate issued by NAV (Hungarian Tax Authority) for your business.
    3. Completion of Customer Data Sheet
      Accurately complete the customer data sheet on our website:

      Following this, we will send:

        • Individual Contract for Headquarters Services
        • General Terms and Conditions in English

      In accordance with the Hungarian Anti-Money Laundering Act, all partners must undergo a screening process. To this end, we will provide:

      • Customer Due Diligence Data Sheet (fulfilling obligations under Sections 7–10 of Act LIII of 2017)
      • Declaration (for clients residing abroad, confirming whether they qualify as prominent public figures)

      These documents will be sent in MS Word (.docx) format. Please review them carefully, complete with your information, sign, and return via post or email.

    4. Prepayment Request
      After receiving the completed documents, we will issue a prepayment request for the fee covering the first one-year period of service.
    5. Legal Consultation for Relocation
      In the case of relocating an existing company, consultation with a lawyer is required to define the new company structure and operating conditions under the amended articles of association. If you already have legal counsel, please provide their contact details so we may coordinate accordingly.
    6. Issuance of Licensing Declaration
      Once payment is received, we will issue and send the STATEMENT AUTHORIZING USE OF REGISTERED SEAT  by email. This document must be included in the application submitted by your lawyer to the Court of Registration. The original document will be provided during the next personal meeting.
    7. Invoicing
      For an operational company, an invoice for the service will be issued immediately and sent by email. The original invoice will be handed over alongside the finalized contract.
    8. Contract Finalization
      Contract finalization occurs after the registration of the company and the new headquarters by the Court of Registration. A personal meeting is required to complete the process.
      In addition, we require:

        • The e-file prepared by a lawyer and submitted to the Court of Registration
        • The Order of the Court of Registration
        • A photocopy of the General Director’s personal documents for identification purposes
    9.  Preparation of Supporting Documents
      We will prepare all additional background documents and authorizations necessary to ensure smooth operation of your headquarters service.
